Warranty Registration

Warranty tracking starts at the point of sale. For each warranty-eligible product, record the sale date, delivery date, and warranty period on the delivery order or serial number record. Odoo's serial number tracking is ideal for this — each serial number carries the sale date and customer information, making it easy to verify warranty eligibility later. For lot-tracked products, warranty applies to the entire batch based on the manufacturing or sale date.

Claim Submission

Customers submit warranty claims through multiple channels. Odoo Helpdesk is the primary tool — create a helpdesk team dedicated to warranty claims with its own SLA policies. Customers can submit claims via email, the customer portal, or phone (with the agent creating the ticket). The claim must include the product, serial number (if applicable), description of the defect, and proof of purchase.

Claim Validation

When a warranty claim is received, the support team validates it against several criteria. First, verify the warranty period — is the product still within the warranty window based on the sale or delivery date? Second, check the warranty terms — does the reported defect fall within covered conditions? Manufacturing defects are typically covered; accidental damage often is not. Third, verify the customer's identity matches the original purchase record.

Resolution Paths

Repair

If the product can be repaired, create a repair order in Odoo. The repair order tracks the defective product, required parts, labor, and status. The customer ships the defective unit to your repair center (or a field technician visits for on-site repair). Once repaired, the product is shipped back to the customer. All repair costs are tracked against the warranty — parts consumed and labor hours are recorded.

Replacement

If repair is not feasible, a replacement unit is shipped. Create a new delivery order for the replacement product linked to the warranty claim. If the customer returns the defective unit, process a return delivery. The replacement cost is recorded as a warranty expense for accurate cost tracking.

Refund

In some cases, a refund is the appropriate resolution. Create a credit note linked to the original invoice. The refund amount may be prorated based on the remaining warranty period or provided in full, depending on your warranty policy.

For businesses with complex warranty needs, add custom fields to products for warranty duration, warranty type (standard, extended, limited), and covered conditions.
