How to Configure Sales Quotation Templates in Odoo 19

What Are Quotation Templates?

Quotation templates in Odoo 19 let you create predefined sales quotes with pre-filled products, optional items, terms and conditions, and formatting. Sales teams select a template when creating a quotation instead of adding products manually each time.

Enable Quotation Templates

  1. Go to Sales → Configuration → Settings
  2. Under Quotations & Orders, enable Quotation Templates
  3. Click Save

Create a Template

  1. Go to Sales → Configuration → Quotation Templates
  2. Click New
  3. Fill in:
    • Name — e.g., "Standard IT Services Package"
    • Quotation Validity — days until expiry (e.g., 30)
    • Confirmation Mail — email template sent on confirmation
    • Company — for multi-company setups

Add Products (Lines Tab)

Click Add a line and add products with quantities and descriptions:

Add Optional Products

Optional products appear on the customer portal as add-ons the customer can choose to include:

  1. Go to the Optional Products tab
  2. Add products like "Premium Support Upgrade", "Additional Training Hours"
  3. Customers can add these when reviewing the quote online

Terms and Conditions

Add terms in the Terms & Conditions section. These appear at the bottom of every quotation using this template. Use HTML formatting for readability.

Using Templates

When creating a new quotation:

  1. Go to Sales → Orders → Quotations → New
  2. Select the customer
  3. Choose the Quotation Template from the dropdown
  4. All template lines, optional products, and terms are auto-filled
  5. Modify quantities, prices, or add/remove lines as needed
  6. Click Send by Email or Confirm

Online Quotation (Customer Portal)

When you send a quotation, the customer receives a link to the online quote where they can:

  • Review all line items
  • Add optional products
  • Sign electronically (if enabled)
  • Pay online (if payment provider is configured)
  • Download as PDF

Advanced Settings

Quotation Validity

Set a default validity period in Sales → Settings → Default Quotation Validity. Template validity overrides this default.

Online Signature & Payment

Enable in Sales → Settings:

  • Online Signature — customers sign to confirm
  • Online Payment — customers pay a deposit or full amount to confirm

Best Practices

  • Create templates for your most common offerings (80/20 rule)
  • Use optional products for upselling — customers add them 30% more often than when not offered
  • Set 30-day validity to create urgency
  • Include terms and conditions in templates to avoid manual entry
